The QAIE Department Organizes Workshop on Digital Transformation of Meeting Minutes

May 1, 2025 — The Quality Assurance and Institutional Effectiveness (QAIE) Department conducted an insightful workshop introducing a new digital system for managing meeting minutes, aiming to replace the traditional documentation process with a more efficient and streamlined alternative. The workshop was led by Prof. Ibrahim Elsayed, Vice Chancellor – QAIE, and Dr. Eslam ElNebrisi, Director of QAIE.
Titled "Digital Meeting Minutes", the session addressed the pressing question, “Why change what we have now?” Participants were guided through the limitations of the current manual system and shown how the new digital platform offers significant improvements in accuracy, accessibility, and real-time collaboration.

Key advantages of the new system highlighted during the workshop included:

  • Enhanced Consistency and Standardization: Ensures uniform documentation across departments.
  • Improved Accessibility: Cloud-based access allows stakeholders to review and edit minutes anytime, from anywhere.
  • Time Efficiency: Automation features reduce manual effort, speeding up the preparation and review process.
  • Searchability and Tracking: Easy retrieval of past meeting data and tracking of action items.

Dr. Eslam, Director of QAIE, presented the second part of the session, focusing on how to submit the Policy Change Form through the portal. She also introduced the Document Bank, a centralized digital repository within the QAIE Portal, which consolidates all important records, reports, and documentation submitted by the three colleges. The Document Bank is designed to ensure standardization, streamlined access, and proper archival of institutional records for quality assurance and accreditation purposes.
